ADMINISTRATIVE EXECUTIVE, FACULTY
Job Descriptions:
- Maintain an organised daily office environment, ensuring efficiency and effectiveness in faculty operations.
- Provide administrative support to the Dean in the daily functioning of the faculty.
- Manage student inquiries and concerns, ensuring a responsive and student-friendly approach.
- Serve as the secretariat for Faculty meetings, including prepare notice of meeting, handling all aspects from meeting notices to follow-up on action items.
- Create and manage the faculty semesterly calendar, incorporating Board of Examiners meetings, Programme Committee meetings, Programme Review & Development Committee meetings and other faculty activities.
- Compile and maintain faculty records encompassing teaching loads, programme and lecturer timetables, classroom allocations, MQA accreditations, External Examiners, Industry Advisors, and Adjunct appointments.
- Manage incoming calls and visitors to the faculty office, ensuring a welcoming and professional experience.
- Actively contribute to faculty activities, workshops, and events, fostering a vibrant and collaborative atmosphere.
Requirements:
- Possess at least a Bachelor’s Degree in any discipline.
- Demonstrate a minimum of two years of relevant work experience, preferably in an academic setting.
- Computer literate with good IT skills and proficient in MS Word, MS PowerPoint and MS Excel.
- Familiarity with MQA documentation will be considered an added advantage.
- Excellent written and communication skills in English.
- Strong organisational and multitasking skills.
- Uphold good work ethics, reflecting integrity and professionalism.
